How to Redact a PDF in Preview (Mac)

Two different tools in Preview (do not confuse them)

Community answers state Preview markup “allows you to visually hide parts behind a box, but it is always possible to remove the box or copy/paste the text behind.” Only the dedicated Redact tool on modern macOS targets removal—not shapes.
How to use Preview Redact on Sonoma / Sequoia
- Open PDF in Preview.
- Choose Tools → Redact (tool stays active until you turn it off).
- Select text with the text cursor, or drag a box over image regions.
- Use File → Save As to create redacted-copy.pdf—preserve an unredacted original.
- Turn off Tools → Redact when finished so you do not accidentally mark more content.
- Run verification below before emailing.
Apple documents that redactions are permanent once saved—you cannot undo from that file. Sequoia users on Apple Community report redaction boxes disappearing on save when the PDF author restricted modifications, when they used shapes instead of Redact mode, or when saving to read-only locations. Test markup on a throwaway PDF: if ordinary annotations also fail to save, fix permissions or export location first.
Known Preview limitations (even with Redact)
- Invisible or off-page text may survive—Acrobat Sanitize catches some cases Preview does not.
- No built-in metadata scrub (Author, Creator from export chain).
- Scanned PDFs: Redact may not align with OCR offset; verify visually on faxes and exhibits.
- Independent tests found partial letter fragments recoverable in edge cases.
- No batch folder processing or SSN pattern auto-detection—manual marking only.
Preview redacts what it can “see” on the page; hidden text outside the visible canvas was still recoverable in Acrobat Sanitize tests. High-stakes filings need verification beyond Preview alone.
The verification ritual (mandatory)
Open saved redacted PDF → Cmd+A → Copy → Paste into TextEdit. Search (Cmd+F) for a digit string you redacted. Any hit means the file is not safe to send.
Also open the file in Chrome or Adobe Reader and repeat. If Preview-specific caching masked a problem, a second viewer catches it.
When to leave Preview for offline redaction
Use offline desktop redaction instead of Preview when: multi-page bank statements with footers, CM/ECF court filings, discovery productions, payroll PDFs, or any file where failure means identity theft or sanctions. Preview is acceptable for low-risk personal tasks after verification—not as firm policy for regulated data.

Legacy workaround on older Macs (Apple Stack Exchange): export pages as PNG → reassemble as PDF, or Print → Save as PDF after image export. Confirm no selectable text remains. Slow but safer than shapes on Monterey.
